Free contractor quote template (Excel / Numbers)
A small, free job quote spreadsheet for handymen, painters, landscapers and other small trades. Enter the job, your hours on site and crew size, the labor rate you charge and what labor costs you, your materials markup and a deposit %, then up to 10 materials. It shows the quote total, deposit and balance for the customer, and your job cost, profit and margin for you.

One sheet, no macros, no sign-up. Excel format (.xlsx). We checked its formulas in Apple Numbers 14.2 and LibreOffice Calc against hand-worked test cases, including the example in the file. It has not been tested in Microsoft Excel or Google Sheets. No rates or prices are built in: every number is yours.
What's in it
- Job inputs: label, labor hours on site, crew size, labor rate charged and labor cost per worker-hour, materials markup % and an optional deposit %.
- 10 material lines: quantity × unit cost, with the line price after your markup and a status that names any input to fix.
- Quote to the customer: materials, labor, quote total, deposit and balance.
- Your costs and profit: materials cost, labor cost, job cost, profit before overhead, margin and markup on cost.
How it works
Worker-hours = hours on site × crew. Materials price = quantity × unit cost × (1 + markup). Quote total = materials price + worker-hours × labor rate. Job cost = materials cost + worker-hours × labor cost. Profit = quote total − job cost; margin = profit ÷ quote total; markup on cost = profit ÷ job cost. This lite version has no overhead, vehicle cost, trip charge or sales tax, so profit here is before overhead.
Worked example in the file
The example is fictional, not a suggested price: a bathroom repaint with $195.00 of materials (paint, primer, caulk, tape) and a 20% markup, which the customer sees as $234.00. Two workers for 6 hours make 12 worker-hours at $65, so labor is $780.00 and the quote total is $1,014.00. A 30% deposit is $304.20, leaving a $709.80 balance. Your job cost is $195 of materials plus 12 × $30 of labor, $555.00, so profit before overhead is $459.00: a 45.3% margin and an 82.7% markup on cost.
What the full version adds
The full Job Quote & Profit Calculator for Contractors uses the same formulas and adds:
- Overhead (per worker-hour and as a % of direct costs), vehicle cost and a trip charge, so profit is after overhead.
- Equipment rental, disposal and other cost lines with their own markup, 25 material lines, and optional sales tax on materials or the whole job.
- One Rates sheet shared by every quote: duplicate the quote sheet for each new job.
- A Jobs log for 60 jobs comparing quoted and actual profit, and a Summary with your win rate and average margin. A worked example and a 2-page PDF guide are included.
